Edit menu

Look up one transaction's history or journal, find in the window in front, search every transaction, jump anywhere with Go To, and open Preferences.

The Edit menu is where you look things up: the full story of one transaction, the debits and credits it posted, a search in the window in front of you or across the whole company, and the Go To / Look Up box that jumps to any screen. It also opens Preferences.

Opening the Edit menu

  • Click Edit on the menu bar, or rest the pointer on it.
  • Or press Alt+E.
  • Esc closes the menu.

The items, in order

Transaction History…

Opens the Transaction History page over the Home Page. It first asks which transaction: type a number or a name in Transaction number or name and press Enter or Find. SeroBooks looks for a document with that number (invoices, estimates, sales orders, credit memos, bills, cheques, credit card charges, vendor credits, purchase orders and expenses) and, if none has it, for documents with that customer or vendor name. Click the one you want in the list.

The page then shows the document (type, number, date, name, Amount, Paid and Balance, with Open to open it), Related Transactions (every payment, credit or return applied to it) and Entered and Changed (when it was entered and changed, and by whom).

  • Shortcut: Ctrl+H, the QuickBooks Desktop key for this command. It opens the page the same way the menu does.
  • Esc goes back to the Home Page.
  • Needs permission for the General Ledger.

Transaction Journal…

Opens the Transaction Journal page over the Home Page; Esc goes back to the Home Page. Find the transaction the same way (number or name, then Find). The page shows each ledger entry the transaction made, the document's own entry first and then each payment against it, with Date, Account, Memo, Debit and Credit and a TOTAL row. Open opens the document itself. If nothing has reached the ledger yet (a draft, for example), the page says so.

Find in This Window

Sends Find to the window in front of you, which puts the cursor in that screen's search or filter box. A screen with nothing to search ignores it.

Advanced Find…

Opens the Advanced Find page over the Home Page (Esc goes back to the Home Page): search every transaction by Transaction Type (tick none for all), Name, Number / Ref., Memo contains, Amount (exact), an amount range (Amount from … to), From date and To date, and Paid status (Any, Open, Paid), then press Find. Double-click a result to open it. It shows up to 500 results; narrow the search if it says it is showing the first 500.

Go To / Look Up…

Opens the Go To / Look Up box: type a few letters to jump to a screen or run a look-up, such as a customer's ledger, a vendor's ledger, money to collect or bills to pay.

Preferences…

Opens the Preferences page over the Home Page. Esc goes back to the Home Page. Needs permission for Accounting Setup.

Common problems

  • Find says nothing matched. Transaction History and Journal search the document number first and then the name. Check the number as it is printed on the document (for example the invoice number), or type part of the customer or vendor name instead.
  • Transaction Journal shows no lines. The document has not posted to the ledger. A draft or a pending invoice posts nothing until it is saved as a real transaction.
  • The Transaction History, Transaction Journal and Advanced Find items are missing. Your role cannot see the General Ledger. Ask for it to be added to your role.
