Invoicing that keeps the books itself
Every invoice you raise in SeroBooks is a ledger entry, a stock movement and a receivable at the same moment — not a PDF you reconcile later. Tax is applied by province automatically, and the document goes out by print, email or WhatsApp without leaving the screen.
What you get
An invoice is four records in one save
Most accounting software treats an invoice as a document you create and then account for. SeroBooks treats it as an event: the moment you save, the ledger posts the revenue and the tax, the stock file relieves the units, and the receivable opens on the customer's account. There is no export step, no sync job, no end-of-day batch that might fail quietly — the four records are one transaction, so they can never disagree with each other.
That single decision removes an entire category of bookkeeping work. You never reconcile the invoicing system against the accounting system, because there is only one system. When your accountant opens the general ledger, every invoice is already there, entry by entry, with the document reference attached — tap any journal line and the original invoice opens behind it.
Canadian tax, decided line by line
Every line on an invoice carries its own tax treatment, worked out from the product's tax category and the place of supply. A GST-only item and a GST+PST item sit happily on the same sale; a grouped rate splits into its federal and provincial halves so each government's account receives exactly its share. Whether tax displays inside or on top of the price follows your business settings — the ledger posting is correct either way.
This is what makes filing season boring, in the best way. The Tax report reads the same ledger the invoice posted to, broken out by rate — GST, PST, HST, RST, QST — with zero-rated sales counted rather than lost. The number on your return traces to invoice lines, not to a spreadsheet built the night before the deadline.
Built for a keyboard, timed for a queue
The invoice screen keeps the cursor in the scan box. Scan a barcode and the line drops in; type and it searches name, code and SKU at once; arrow keys pick from the matches and Enter adds the line. F9 goes straight to payment. A whole sale can be rung up without touching the mouse — which is the difference between software that demonstrates well and software that survives a Saturday rush.
Quantity, price and discount edit inline on the line. For clothing and footwear there is a grid entry that opens a colour-by-size matrix, so a full size run lands on the invoice in one pass instead of fifteen scans. Serialized goods prompt for the exact unit going out the door; batch-tracked goods pick the oldest lot automatically unless you choose otherwise.
Every way out of the building
One saved invoice prints as a thermal receipt or a full A4 tax invoice, saves as a PDF, attaches to an email, or goes out by WhatsApp — from the same actions panel, without re-entering anything. The A4 template carries your notice line, trading terms and bank details, so a trade customer can pay by transfer without phoning to ask where.
Corrections stay honest. Reopening a saved invoice is permission-gated, every change is audited, and stock and totals are re-worked on save so the stock file stays right. If goods come back, the return is raised from the original invoice — which is what makes it impossible to refund more than was charged, or return more than was bought.
Offline is not a degraded mode
SeroBooks runs on a local database. If the internet disappears mid-morning, you keep invoicing — the catalogue, prices and customers are on the machine, and everything syncs when the connection returns. For a counter business, this is the difference between a bad hour and a lost day.
The same architecture is why the screen is fast: search is instant because it never waits on a network round-trip, while live figures like customer balances read from the server so the number you quote is never stale.
Frequently asked questions
Does invoicing work offline?
Yes. SeroBooks runs on a local database, so you can invoice all day with no internet and everything syncs when the connection returns.
Can I convert a quote to an invoice?
One click. Quotations and sales orders both convert to invoices and carry their lines, prices and taxes with them.
How is tax calculated?
By destination and category. The tax engine holds a place-of-supply matrix for all 13 provinces and territories, so a BC sale and an Ontario sale on the same screen each get the right treatment.
