What a Canadian invoice has to carry

If you are registered for GST/HST, your invoices need your business name, the date, your GST/HST registration number, a description of what was supplied, the amount, and the tax shown either as an amount or as the rate applied. Larger invoices carry more requirements, and your customer needs those details to claim their own input tax credits.

Getting this right is not pedantry: an invoice missing the registration number can cost your customer their credit, which is the kind of thing that ends trading relationships.

Where a generator stops being enough

A generated PDF is a document, not a record. It does not know whether it was paid, does not age into a receivable, does not relieve stock, and does not post to a ledger — so at some volume you are maintaining a spreadsheet beside a folder of PDFs, and reconciling the two.
