The Banking reports follow the money itself: every payment received and made, by method and by day, every cheque, and every reconciliation. Use them to match what reached the bank against what was recorded, to find a cheque that is missing from the sequence, and to review past reconciliations.
Where to find them
- Reports ▸ Banking lists Deposit Detail, Cheque Detail, Missing Cheques and Reconciliation Summary, then the reconciliation screens (Previous Reconciliation, Reconciliation Discrepancy) and the three registers (Cheque Register, Deposit Register, Credit Card Charges Register). Those screens are described at the end of this article.
- Reports ▸ Report Centre, category Banking, has six reports, including Payments by Method and Daily Takings by Payment Method, which are not on the menu. The menu's Missing Cheques is Missing Cheque in the Report Centre.
What these reports count
- Payments, on the day they were made. A payment is counted on its own date, which is not always the date of the invoice or bill it pays.
- Refunds subtract. A refund given or received is taken off, not added.
- Applying a credit is not a payment. When a credit memo or vendor credit is set against an invoice or bill, no money moves, so it is left out of every banking report.
These reports cover the whole company: only Daily Takings by Payment Method follows the location picker at the top of the window. None of them has a customer or vendor filter; use the search box or Filter in the report toolbar instead. See Running a report.
Banking
Deposit Detail
What it answers: every payment received from customers in the period, day by day.
Date: a period.
Columns:
| Column | What it shows |
|---|---|
| Date | The date the payment was received. |
| Invoice | The invoice (or other document) it was paid against. |
| Customer | Who paid. Sales to no named customer show Walk-In Customer. |
| Method | How it was paid, for example Cash, Cheque, Card or Bank Transfer. |
| Reference | The payment reference or cheque number. |
| Amount | The amount. Refunds are negative. |
Rows: one section per day with a Total for the day, then a TOTAL row.
Drill down: click a payment to open the invoice it was made against.
When you open it from a Payments by Method line, it shows only that method, and its title names it (for example Deposit Detail — Cash). From a Paid Out line it lists payments made to vendors instead, under the title Payments Made, with Bill and Vendor columns.
Cheque Detail
What it answers: every payment made or received by cheque in the period.
Date: a period.
Columns:
| Column | What it shows |
|---|---|
| Date | The date of the payment. |
| Cheque no. | The cheque number; — when none was recorded. |
| Name | The customer or vendor. |
| Document | The invoice, bill or expense it was paid against. |
| Bank account | The bank account recorded on the payment. |
| Amount | Cheques you wrote are negative; cheques you received are positive. |
Rows: one per cheque payment, by date, then a TOTAL row.
Drill down: click a line to open the document.
Related: The Cheques list and the Cheque Register show the cheques written from your bank account.
Missing Cheques
Shown in the Report Centre as Missing Cheque.
What it answers: gaps in the cheque-number sequence.
Date: a period.
Columns: Cheque no., Date, Name and Amount.
Rows: every cheque you wrote in the period that has a numeric cheque number, in number order: bills paid by cheque, cheques from Write Cheques, expenses paid by cheque and refund cheques to customers. Cheques you received from customers are not listed, because their numbers are the customers' own. Wherever a number is skipped, a highlighted line such as *** MISSING 1045 *** appears, one for each missing number. A very large jump is cut short with *** gap too large to list in full ***.
A note says how many numbered cheques were found. Cheque numbers containing letters or symbols cannot be sequenced and are left out.
Drill down: click a cheque to open its document.
Payments by Method
Report Centre only.
What it answers: how much came in and went out through each payment method: the cash-up.
Date: a period.
Columns:
| Column | What it shows |
|---|---|
| Method | Cash, Cheque, Card, Bank Transfer and every other method used. |
| Count | How many payments. |
| Surcharge | Surcharges collected with the payments. |
| Tips | Tips collected with the payments. |
| Amount | The total, with refunds subtracted. |
Surcharges and tips are shown on their own because they are collected with a payment but are not sales.
Rows: two sections: RECEIVED (payments from customers) and PAID OUT (payments to vendors and for expenses), each with a subtotal. The last row, NET MOVEMENT, is received less paid out.
Drill down: click a method to open the payments behind it: Deposit Detail for a received line, Payments Made for a paid-out line, in each case for that method only.
Daily Takings by Payment Method
Report Centre only.
What it answers: each day's money received from customers, split by payment method, for matching each day's bank deposits and card batches.
Date: a period. Filters: location.
Columns: Day, then one column per payment method used (the busiest method first), then Total.
Rows: one per day that had payments, then a TOTAL row.
Only payments on sales and credit memos count. Refunds and change given are subtracted.
Drill down: click a figure to open Deposit Detail for that day and that method; click the day to open Deposit Detail for the whole day.
Register Closing Summary
Not in SeroBooks. This is a SeroPOS report about point-of-sale cash register sessions, and the SeroBooks Report Centre does not list it. It is described here for companies that also use SeroPOS, where it is in the SeroPOS Report Centre under Banking.
What it answers: for each cash register session opened in the period, the cash that should have been in the drawer against the cash counted at close.
Date: a period (the day each session was opened). Filters: location.
This report lists sessions on a point-of-sale cash register. A company that does not open and close registers has none, and the report is empty.
Columns: Opened, Closed (or Still open), Staff, Location, Opening cash, Cash sales, Cash refunds, Expected cash (opening cash plus cash sales less cash refunds), Counted, Over / short, Card, Other and Total takings.
When any session closed over or short, a warning above the report says how many.
Reconciliation
Reconciliation Summary
What it answers: every bank and credit card reconciliation you have done, with any difference left over.
Date: none. It lists every reconciliation.
Columns:
| Column | What it shows |
|---|---|
| Account | The account's name is the heading of each section. |
| Statement Date | The statement's ending date. |
| Statement Balance | The ending balance you entered from the statement. |
| Cleared Balance | The balance of the transactions you marked cleared. |
| Difference | What was left unreconciled when you finished. |
| Cleared | How many transactions were cleared. |
| Reconciled By | The user who finished it. |
| Status | Completed, or Undone if it was later undone. |
Rows: one section per account, newest statement first.
To see a reconciliation's detail, or what has changed since, open Previous Reconciliation (below).
Related: Reconcile a bank or credit card account.
Other screens on this menu
Previous Reconciliation
Reports ▸ Banking ▸ Previous Reconciliation lists every past reconciliation, opens each one's report, and lets you undo a reconciliation. See Previous Reconciliation and undoing a reconciliation.
Reconciliation Discrepancy
Reports ▸ Banking ▸ Reconciliation Discrepancy opens the discrepancy report of your most recent reconciliation: what has changed among its cleared transactions since you finished it. That is the usual reason a new reconciliation does not start where the last one ended. See Reconciliation Discrepancy.
Cheque Register, Deposit Register and Credit Card Charges Register
Reports ▸ Banking ▸ Cheque Register, Deposit Register and Credit Card Charges Register list the cheques written, the deposits made and the credit card charges entered. See Cheque, Deposit and Credit Card registers.
Common problems
Deposit Detail does not match my bank statement. Deposit Detail lists each payment on the day it was received. Your bank shows each deposit, which may combine several payments made on different days. Compare against the Deposit Register, or group the payments with Make Deposits so each bank deposit is recorded as one amount.
A credit memo I applied does not show. Applying a credit moves no money, so no banking report lists it. It is on the invoice and on the customer's ledger.
Missing Cheques lists numbers I never used. It includes customers' cheque numbers. Look at the run of numbers from your own chequebook, or narrow the period.
Payments by Method shows a method called Unspecified. A payment was recorded without a method. Click the line to list those payments, then open each one's document to check it.
