Your subscription and plan

How your SeroBooks plan is bought and managed on the web, what the free trial unlocks, what plan locks look like in the app, and what happens when a subscription ends.

SeroBooks is sold by subscription. Your plan decides which parts of SeroBooks your company can open and how many users and locations it includes. Your role (see Roles and permissions explained) then decides what each person may do within that.

SeroBooks subscriptions are bought, changed and cancelled on the web, not inside the app. The desktop app shows you what your plan includes, and sends you to the web whenever there is something to buy or renew.

Only people whose role holds the subscription and business settings permissions (the Admin always does) see Package Subscription in the Back Office.

The page is headed Package Subscription Management — Manage your subscription plans and billing.

Your current plan, marked Running, with:

The free trial

A new SeroBooks company starts with a free trial. During the trial every part of SeroBooks is open, including the parts a lower plan does not include, so you can try everything. When the trial ends, the plan you chose applies.

The trial is started on serobooks.app with a payment card. Nothing is charged for the trial days; the plan's price is charged when the trial ends unless you cancel before then with Cancel subscription or trial.

If you cancel during the trial, a short strip at the bottom of the screen reminds you once a day how long the trial has left — Your free trial ends in N days. Resubscribe to keep SeroBooks. — and its Resubscribe button opens the SeroBooks plans page (serobooks.app/pricing) in your browser.

What your plan includes

The accounting core — invoices, bills, payments, banking, sales tax, the ledger and reports — is in every plan. Some parts of SeroBooks belong to a higher plan, for example Amazon settlement sync, Warehouse bins and pick/putaway, Multi-channel reconciliation and Advanced role permissions. The current list for each plan, and how many users and locations each includes, is on serobooks.app/pricing.

How a plan lock looks in the app

A screen your plan does not include stays visible in the menus with a small award-badge icon beside its name — a different mark from the padlock that means your role needs approval. Clicking it opens a card named after the feature:

  • [Feature] is part of [plan]. Your plan is [your plan] — upgrading opens it immediately, and nothing already in your books changes.
  • Nothing you have entered is affected either way. Your ledger, your documents and your reports stay exactly as they are — this only opens a part of the product you have not bought yet.
  • Not now and Talk to us about upgrading both close the card. The app does not take payment; to upgrade, use Manage Subscription in the Back Office or contact support.

The difference matters: a plan lock can only be opened by changing the plan; a padlock can be opened by someone with the right to approve it.

A few tiles on the Admin screen use a similar lock: clicking a plan-locked tile shows an Upgrade to SeroBooks Pro card listing what SeroBooks Pro adds, where See Pro plans opens serobooks.app/pricing in your browser and Not now closes the card.

Users and locations

Each plan includes a number of users and locations. When the user allowance is used up, adding a user is refused with Your plan's user limit is already used. Upgrade the plan or deactivate a user first. See Set Up Users and Roles.

When your plan changes

When the plan changes while SeroBooks is open — an upgrade, an add-on, a trial ending — the screens you can open change the next time SeroBooks starts. Nothing is taken away from under you while you work. Close and reopen SeroBooks to see the new set of screens straight away.

When a subscription ends

If your company's subscription has ended, signing in stops with a Subscription expired box:

Your SeroBooks subscription has expired, so this sign-in was not completed. Renew your subscription on the web and sign in again — everything is exactly as you left it.

  • Renew on serobooks.app opens the pricing page in your browser.
  • Close returns to the sign-in screen.

Your books are kept exactly as they were. After renewing, sign in again.

Tips

  • Watch the End Date on the Package Subscription page, so a lapsed plan never stops a morning's work.
  • Check the plan before assigning roles. A role cannot give anyone a screen the plan does not include.
  • Use the trial fully. Everything is open during the trial; try the parts you might need later, such as Amazon or warehouse bins, before choosing a plan.

Common problems

A screen has an award-badge icon and will not open. It is not in your plan. Upgrade with Manage Subscription, or ask support which plan includes it.

A screen has a padlock. That is a role permission, not the plan. See Roles and permissions explained.

I upgraded but the new screens are not there. Close SeroBooks completely and open it again.

"Subscription expired" at sign-in although we paid. Sign in to the Back Office from a browser and check Package Subscription; if the plan shows Running, contact support.
