The outgoing half of the ledger

Pay Supplier records money out against a supplier's account and clears it against their outstanding bills, oldest first — the same convention their statement will assume. Part payments are normal on a large bill; the remainder stays aged from the bill's own date.

The supplier's open bills are listed as you pay, so what this cheque settles is visible before it is written.

Method drives the books

Cash, cheque, bank transfer, card — each method posts to its mapped account, and cheques you write join the Cheques register with their clearing status. What you paid, how, and from where: recorded once, correct everywhere — Payables, Cash Flow, the ledger, the bank rec.

Check returns first: if goods went back, the credit may already cover the bill. Payables shows the net, so the check is a glance, not a reconciliation.

From one payment to a payment run

Paying one supplier lives here; paying the week's bills lives in Payment Runs, where you select what to pay and settle it in one action, cheque numbers issued in sequence. The two share the same postings and the same aging — one is retail, the other wholesale, both land identically in the books.

Unapplied supplier credits are flagged before you pay cash, so credit gets used instead of sitting idle while money goes out.

Frequently asked questions

Can a clerk pay suppliers without approval?

Only with the permission. Recording supplier payments and executing payment runs are separate grantable rights — and the server enforces them, not just the app.
