A scheduled report is a memorized report with a day and time to arrive. SeroBooks runs it for its period on that day and emails it, as a spreadsheet, to the addresses you list: last month's Profit & Loss to your accountant on the 1st, the A/R Aging Summary to your collections person every Monday, yesterday's sales every morning. Nobody has to remember to open anything.
Scheduled reports are set and listed on the Saved Reports screen, the same screen as memorized reports. Reports ▸ Scheduled Reports and Reports ▸ Memorized Reports both open it.
Schedule a report from the report window
The quickest way, while you are looking at the report:
- Set up the report (basis, customer or vendor, location).
- Click Memorize.
- Name it in Call it and choose Which period, each time it runs (for a monthly email, usually Last month).
- In Email it choose Every morning, Every Monday or On the 1st.
- Type the addresses in To (comma separated).
- Click Memorize.
A report scheduled this way is sent at 07:00 on the chosen day. To change the day or the time, use Edit on the Saved Reports screen.
Schedule a report from Saved Reports
- Open Reports ▸ Scheduled Reports.
- Click Save a report (or Edit on an existing one).
- Fill in Call it, Report and Period (see Memorized Reports).
- Under SEND IT choose how often:
| Choice | Then choose |
|---|---|
| Never — I will open it | Nothing: the report is kept but not sent. |
| Every day | At: the hour it is sent, 00:00 to 23:00. |
| Every week | On: Monday to Sunday, and At. |
| Every month | On day: 1 to 28, and At. |
- Type the addresses in Email it to, separated by commas (for example one@example.com, two@example.com).
- Click Save (or Save changes).
The message confirms the schedule, for example Report saved. It will be emailed every Monday at 07:00. Any address that is not a valid email is named and ignored: Ignored: … — not valid addresses.
What arrives
Each delivery is one email per report, on your company's letterhead:
- Subject: your company name, the report's name and its period, for example Maple Hardware — Monthly P&L — 2026-08-01 to 2026-08-31.
- Body: the report it came from and the period, Attached as a spreadsheet: 42 row(s), and any warning the report raised (such as THIS REPORT DOES NOT BALANCE. Do not file from it. or a note that it stopped at its row limit).
- Attachment: a CSV spreadsheet named after the report and its dates, with the title, name, period and column headings at the top and one row per report line, indentation kept.
- The closing line tells the recipient where the schedule is changed: Change or stop this in Reports ▸ Memorized Reports.
The figures are the same ones the report shows on screen for that period, worked out on the morning it runs. Any report in the Report Centre can be scheduled, custom reports included.
A scheduled report runs as the person who memorized it: it shows what their role may read, and no more. If that person is no longer a user of the company, the delivery fails with The person who saved this report is no longer a user of this business. Save it again as a new report under your own name, then delete this one.
When it is sent
SeroBooks checks for due reports every hour. A report is sent once on its day, at the first check at or after its hour. If a check is late the report still goes that day; it is never sent twice on the same day.
Checking deliveries
The Last run column on the Saved Reports screen shows each report's latest delivery:
| Shows | Meaning |
|---|---|
| never | It has not run yet. |
| sent · date and time | It went out with figures. |
| empty · date and time (amber) | It went out, and the period had no figures. |
| failed · date and time (red) | It did not go out. The screen explains: A report marked "failed" did not go out. The reason is recorded on the row — most often an address that bounced, or a report that no longer exists. |
Use Preview to see exactly what the next delivery would contain.
Pause, change or stop a schedule
- Pause: Edit, turn the switch to Paused — kept, but nothing is sent., Save changes. The row is dimmed. Turn it back to Active to resume.
- Change: Edit, change the day, time, period or addresses, Save changes.
- Stop but keep the report: Edit, choose Never — I will open it.
- Remove entirely: Delete.
Common problems
| Message or problem | Fix |
|---|---|
| A scheduled report needs at least one valid email address. (or — "…" is not one.) | A report set to Every day/week/month needs at least one real address in Email it to. |
| Last run shows failed | Read the reason on the row. Correct a bounced address, or choose another report if this one no longer exists, then check with Preview. |
| This saved report names "…", which is not a report this business can run… | The report it memorized no longer exists (for example a deleted custom report), or it was saved by a newer version of the app. Delete it, or memorize the report again from its own window. |
| The person who saved this report is no longer a user of this business… | Editing it does not change whose it is. Click Save a report and set up the same report and schedule, so it runs as you, then Delete the old one. |
| This report is not available on your plan, or you do not have permission to read it. | The person who memorized it cannot read that report. Ask an administrator to grant it, or have someone who can read it save the schedule. |
| The report arrived with the wrong dates | Check Period. Periods are relative to the day it runs and follow the calendar year: Last quarter is the last complete calendar quarter, This year to date starts on 1 January. |
| The recipient wants a PDF, not a spreadsheet | Scheduled reports are sent as CSV. For a PDF, open the report and use Email with ATTACH AS: PDF (see Print, export and email a report). |
| Nothing arrives and Last run says never | Check the report is Active, that its day has come and its hour has passed, and that the address is right. Ask the recipient to check their junk mail folder. |
