Memorized Reports

Save a report with its filters and a relative period such as "last month", find it again under Saved Reports, preview it, change it or delete it.

A memorized report is a report you have set up once (the right report, basis, customer, vendor or location) and kept under a name, together with the period it should cover each time it runs. SeroBooks keeps memorized reports on the Saved Reports screen, which is also where you schedule a report to be emailed automatically (see Scheduled Reports).

The one thing to know: a memorized report holds a relative period such as Last month or This year to date, never two fixed dates. A report memorized in March as "last month" still means last month when you run it in November.

Memorize a report from the report window

  1. Open the report and set it up: the report's own filters (Accrual or Cash, the customer or vendor chip, the location picker).
  2. Click Memorize on the toolbar. The Memorize this report window opens (Kept as it is on screen — basis, filters and all).
  3. Fill in the fields:

Keeping the filters you have on: …Not a field: it lists what travels with the report, such as cash basis · one customer · one location.
Which period, each time it runsYesterday, Last week (Mon–Sun), This month so far, Last month (the default), Last quarter, This year to date or Last year.
Email itDo not email it — just keep it (the default), Every morning, Every Monday or On the 1st.
To (comma separated)Shown when you choose to email it: the addresses it goes to.
  1. Click Memorize. The message Memorized. It is in Reports ▸ Memorized Reports. confirms it.

Every report in the Report Centre can be memorized, including your custom reports, and every memorized report can be previewed and scheduled.

What is kept: the report, its name, the relative period, the basis, the one customer or vendor, the location and, on reports opened for a job, the job. What is not kept: search text, Filters, Group By, hidden columns and Customize settings. (Hidden columns and Customize settings are remembered on each computer anyway; use Favourites ▸ Save current search… in the report to keep a set of filters.)

The Saved Reports screen

Open it with Reports ▸ Memorized Reports (or Reports ▸ Scheduled Reports, which opens the same screen). The heading shows Saved Reports and how many are saved; underneath, Sent from the same figures the report screens show.

A paused report is shown dimmed. The buttons above the list are Save a report and Refresh.

Preview

Preview runs the report for its period, as of today, and shows the result in a window headed with the report name, the report it runs and the dates it resolved to (for example 2026-08-01 to 2026-08-31). The table is exactly what a scheduled email would attach. If the period has no figures you see Nothing in this period. It would still be sent, marked empty…. Click Close when done.

Save a report (without opening it first)

Save a report opens the Save a report window, which does everything Memorize does plus the full schedule:

Click Save. A report saved this way keeps no customer, vendor or location filter; to keep one, memorize the report from its own window.

Edit

Edit opens the same window titled Edit saved report, with an extra switch: Active, or Paused — kept, but nothing is sent. Change what you need and click Save changes. The message Report updated. confirms it.

Delete

Delete asks Delete "…"? — The report itself is untouched — this only removes the saved filters and any schedule on them. Click Delete to remove it, or Keep it.

How the periods are worked out

Each time a memorized report runs, its period is worked out from that day:

Who sees memorized reports

Memorized reports belong to the company: everyone who can open Saved Reports sees the same list, and anyone who can open it can change or delete an entry.

Common problems

Message or problemFix
Save a report is greyed out and the screen says This server has not been migrated for saved reports yet.Your company's server has not been updated for saved reports. Contact SeroBooks support.
The server has not told us which reports can be saved yet.The list of reports could not be loaded. Click Refresh and try again.
A saved report needs a name.Fill in Call it.
"…" is not a report that can be saved.That report is no longer available (for example a custom report that was deleted). Choose another.
A scheduled report needs at least one valid email address…A report set to be emailed needs an address. See Scheduled Reports.
Preview or a scheduled run says This saved report names "…", which is not a report this business can run…The report it memorized no longer exists (for example a custom report that was deleted), or it was saved by a newer version of the app. Delete the memorized report, or memorize the report again from its own window.
Preview or a scheduled run says This report is not available on your plan, or you do not have permission to read it.Preview runs the report as you; a scheduled run runs it as the person who memorized it. Either way it shows only what that person's role may read. Ask an administrator to grant the report, or have someone who can read it memorize it.
The memorized report shows different dates from when I saved itIntended: the period is relative. Choose a different Period, or open the report and set exact dates for a one-off.
The memorized report lost my Filters / Group ByOnly the report's own filters (basis, customer or vendor, location) are memorized. Save the rest under Favourites inside the report.
