Print, export and email a report

Print a report to your report printer, save it as Excel, CSV or PDF, or email it as an attachment, with exactly the figures, filters and columns on screen.

Every report can leave SeroBooks three ways, from the buttons at the left of its toolbar: Print, Export (Excel, CSV or PDF) and Email. All three take the report as it is on screen right now: the period, the basis, the customer, vendor or location it is narrowed to, any search, filters and grouping, the columns you have hidden, the monthly summary or last year's comparison if they are on.

Print

  1. Set the report up the way you want it on paper.
  2. Click Print on the toolbar, or press Ctrl+P.

SeroBooks lays the report out as a PDF and sends it straight to the document printer chosen for this computer in File ▸ Printer Setup…, or to the computer's default printer when none is chosen (see Printer Setup). Nothing opens on screen. A message says what happened:

What a printed report carries

  • The report title, and above it your company name when Company Name is ticked in Customize (see Customise a report).
  • The period, Accrual basis or Cash basis (when Report Basis is ticked) and prepared with the date and time (as Date Prepared and Time Prepared say).
  • The customer's or vendor's name and address in a box at the top, when the report is about one party, the way an invoice prints the customer.
  • INCOMPLETE — row limit reached if the report stopped at its row limit.
  • The filters you applied and how many lines are shown, for example Province is ON (12 of 40 lines), so a filtered printout is never mistaken for the whole report.
  • Headings, subtotals and totals set out as they are on screen, with indentation.
  • Under the figures: every note the report shows (including any does not agree warning), All figures in thousands. when Divided by 1000 is on, and your Extra Footer Line.
  • Amounts written as Customize says: negatives in brackets or with a trailing minus, without cents, in thousands.

Export to Excel, CSV or PDF

  1. Click Export ▾ on the toolbar.
  2. Choose:
    • CSV — Any spreadsheet or accounting import.
    • Excel — .xlsx with real numbers you can total.
    • PDF — Print or email as it looks here.
  3. A save window opens on your Downloads folder with a name such as Balance-Sheet-Standard-20260925-1432.xlsx (the report title, the date and the time). Choose a folder and click Save.
  4. The file opens in the program your computer uses for it, and a message says Exported 42 row(s) to …. If it cannot be opened automatically the message says Saved to … — open it from there.

What an export contains:

  • The title and a line with the period, basis, when it was prepared, INCOMPLETE if it was cut short, and the filters that were on.
  • One row per report line (blank spacer lines are left out), with indentation kept as leading spaces so the account hierarchy survives in a spreadsheet, and subtotal and total rows styled as such in Excel and PDF.
  • Numbers as numbers. Amounts are written as plain figures to two decimals (no currency sign, no thousands separators, minus sign for negatives), so Excel can add up a column. Quantities keep up to four decimals. Percentages keep their % sign.
  • The report's notes at the end.

Email a report

  1. Click Email on the toolbar. The Email this report window opens, showing the report name, its period and how many rows it has.
  2. To is filled with your company's email address. Replace or add to it; separate several addresses with a comma.
  3. Subject is filled with the report name and period, for example A/R Aging Summary — As of 30 Sep 2026. Change it if you like; it cannot be empty.
  4. Message is filled with Please find attached the …. Change it as you wish.
  5. Under ATTACH AS choose PDF (the default), Excel or CSV.
  6. Click Send.

The report is attached as the same file Export would save, and the email goes out on your company's letterhead from SeroBooks' mail service. Each address receives its own email, so recipients do not see each other's addresses. When it has gone you see Report emailed to … (or Report emailed to 3 recipients).

Permissions

The Export / Download permission, under Reports ▸ Report Centre in a role, controls both Export and Email on every report and list in SeroBooks. Without it the two buttons are not shown at all. Print is available to anyone who can open the report. See Roles and permissions explained.

Tips

Common problems
