Printer Setup tells SeroBooks which printer on this computer to use. You choose a Document printer for invoices, statements, package slips and other full-page documents, and a Barcode label printer for item and price labels. Once a printer is chosen, SeroBooks prints straight to it: nothing opens on screen, and you do not have to pick the printer each time.
The choice belongs to this computer. Each computer that runs SeroBooks keeps its own printers, because the printer is the physical machine beside it. Setting a printer here does not change what other people in your company print to.
Opening Printer Setup
Choose File ▸ Printer Setup…. The Printer Management screen opens. Press the back arrow to close it.
Your role needs the Printer Setup permission. If it does not have it, SeroBooks tells you so and the screen does not open; ask an administrator (see Roles and permissions explained).
Before you start: add the printer to Windows
SeroBooks prints through the printers Windows already has installed: USB printers, network and Wi-Fi office printers, and "virtual" printers such as Microsoft Print to PDF. If your printer is not installed in Windows, SeroBooks cannot see it. Press Add a printer to Windows on the screen to open Windows' own Printers & scanners settings, add the printer there, then come back and press the refresh button so SeroBooks lists it.
Choosing the document printer, step by step
- Open File ▸ Printer Setup….
- In the Document printer card ("Invoices, statements and package slips — laser, inkjet or network printers"), open Printer and choose your printer.
- Set Copies with the minus and plus buttons if you want more than one copy of each document.
- Decide whether invoices should print by themselves when you save a sale (see Print automatically when a sale is saved below).
- Press Print test page. A one-page test with the printer's name and the time prints. If you can read it, invoices will print there.
Changes are saved as you make them; there is no Save button.
The Document printer card
| Field or button | What it does |
|---|---|
| Printer | The printer that full-page documents print on. The list shows every printer installed on this computer. Real printers are listed first, the computer's default first among them, then virtual printers (PDF, OneNote, XPS, fax). Badges beside a name say Default (the Windows default printer), Network (reached over the network) or Offline (switched off or disconnected). Choosing a printer also switches automatic printing on. |
| Print automatically when a sale is saved | On — "invoices print on this printer without opening": when you save a new invoice with Invoice ticked under When this is saved, it prints here straight away. Off — "nothing prints unless you tick Invoice or press Print": nothing prints by itself. Available only once a printer is chosen. |
| Copies | How many copies of each document, from 1 to 9. |
| Print test page | Prints a test page on the chosen printer. A message under the buttons says whether it was sent. |
| Add a printer to Windows | Opens Windows' printer settings so you can install a printer. |
| Refresh button ("Look for printers again") | Reads the list of installed printers again, for example after you add one to Windows. |
When no document printer is chosen, pressing Print on a document still prints: it goes to the computer's default printer, one copy.
The Barcode label printer card
The second card, Barcode label printer ("Barcode and price labels print here directly, at exact size — Zebra, Rollo, DYMO, TSC or any label printer"), works the same way: choose the Printer, then press Print test label to print one 2 in × 1 in test label with a barcode. Labels always print at their real size, never enlarged or shrunk to fit, so that they line up with the label stock. See Barcode and item labels.
How documents print
- Documents are prepared as PDF pages and sent to the printer silently. Each page is fitted to the paper in the printer without being distorted, so a document prints correctly on Letter or A4 paper.
- Print Forms starts with the document printer and copies chosen here, and lets you pick another printer for one batch.
- If the printer is switched off, missing or refuses the job, you see a message saying so, and nothing is marked as printed.
The rest of the screen
Below the two cards, Printer Management also lists receipt-style printers (small thermal printers connected by network, USB or Bluetooth) with Add New Printer and Auto-Detect Printers. SeroBooks prints invoices, statements and forms as full pages on the document printer, so you do not need to add a printer here for those.
Messages you may see
| Message | What to do |
|---|---|
| "This computer has no printers installed yet." | Press Add a printer to Windows and install one, then refresh. |
| "printer is no longer installed on this computer. Choose another." | The chosen printer was removed from Windows. Pick another in Printer. |
| "Test page sent to printer." | The test went to the printer. If nothing comes out, check the printer itself (paper, power, the Windows print queue). |
| "printer is not installed on this computer any more. Choose another printer in Printers." | Shown when printing a document. Choose another printer here. |
| "printer did not accept the document." | The printer or its driver refused the job. Print a Windows test page to check the printer, or choose another. |
| "Printing directly is available on Windows and Mac. On this device, Print opens the document to print or share." | On this device documents open in a viewer instead of printing silently. |
Tips
- Choose the office laser as the document printer and keep Print automatically when a sale is saved off if you prefer to decide per invoice.
- To keep a paper-free copy, choose Microsoft Print to PDF as the printer, or use Save PDF on the document.
Common problems
My network printer is not listed. SeroBooks only lists printers installed in Windows. Add it in Windows (Add a printer to Windows), then press the refresh button.
Invoices print on the wrong printer. Another computer may be printing them, or this computer has no document printer chosen and is using its Windows default. Open Printer Setup on the computer you are using and choose the printer.
Invoices print twice. Check Copies in the Document printer card, and in Print Forms.
