Print Forms

Print a batch of invoices, sales receipts, credit memos, estimates, sales orders or purchase orders in one go, laid out with the template you choose.

Print Forms prints many forms at once. You pick a kind of form (for example Invoices), a date range, and a template; SeroBooks lists the forms of that kind that have not been printed yet, you tick the ones you want, and they print on the printer you choose, one after another, as a single job. Once a form has printed it leaves the Not yet printed list, so the page works as a queue: open it at the end of the day, print what is waiting, and the list is empty again.

Use it when you save forms during the day and print them together later, when you tick Print Later on an invoice, or when you need a stack of reprints (all of last month's invoices, say) in one go.

Opening Print Forms

Choose File ▸ Print Forms…. The page opens over the Home Page, and Esc goes back to the Home Page. It needs permission for the Invoices list.

Cheques are not printed here: use File ▸ Print Cheques… (see Print Cheques). Item and barcode labels are printed from File ▸ Print Labels… (see Barcode and item labels). Customer statements are printed from Customers ▸ Create Statements (see Create Statements).

Printing a batch, step by step

  1. Choose the kind of form with the buttons across the top: Invoices, Sales Receipts, Credit Memos, Estimates, Sales Orders or Purchase Orders.
  2. Leave Not yet printed selected to see only the forms still waiting, or choose All to see every form of that kind in the dates.
  3. To see only the forms that were saved with Print Later ticked, turn on Ticked Print Later.
  4. Set From and To to the dates you want. The list reloads as soon as you change a date.
  5. Pick the Template the forms should print with. The template marked (default) is chosen for you.
  6. Tick the forms to print. With Not yet printed selected, every listed form is ticked when the list loads; untick the ones you want to leave for later.
  7. Optional: press Preview to see the ticked forms exactly as they will print.
  8. In the Print panel, check the Printer and the number of Copies, then press Print.
  9. When the printer has accepted the job you see "Sent n forms to printer", and the printed forms leave the Not yet printed list.

The page, field by field

Filters at the top

The list

ColumnWhat it shows

NUMBERThe form's number (for a purchase order, its reference number).
CUSTOMER (or VENDOR for purchase orders)Who the form is for. A company is shown by its company name.

LAST PRINTEDWhen it was last printed from this page. Empty if it never has been.

Below the list a line reads, for example, "12 of 15 selected · $4,210.00": how many forms are ticked out of those listed, and what the ticked forms add up to. Select All ticks every listed form and Select None clears the ticks.

The page lists at most 500 forms at a time. If more match, the line adds "showing the first 500 of n; narrow the dates for the rest". Shorten the date range and print in several batches.

The Print panel

Field or buttonWhat it does
PrinterThe printer the batch goes to. The list is the printers installed on this computer. A printer marked (default) is your computer's default; one marked — offline is switched off or disconnected. SeroBooks starts with the document printer chosen in Printer Setup, or the computer's default printer if none is chosen.
CopiesHow many copies of each form, from 1 to 9.
PrintPrints every ticked form, in the order listed, with the chosen template.
PreviewShows the ticked forms below the panel as they will print. The preview holds the first 20 ticked forms; its caption says so ("PREVIEW — FIRST 20 OF 45 INVOICES").
Save as PDFSaves the ticked forms as one PDF file. A Save forms as PDF window asks where; the file name starts with the kind of form and today's date (for example Invoices-2026-09-25.pdf). Saving does not mark the forms as printed.

While a batch is being prepared the panel shows its progress ("Preparing 12 forms…", then "Printing on printer…"), and the buttons are unavailable until it finishes.

On a computer without a print system that SeroBooks can reach directly, the panel says "On this device the forms open in your PDF viewer to print." In that case Print opens the forms as a PDF, and then asks Did the forms print correctly? Answer Yes once they are on paper, and they leave the Not yet printed list; answer No, keep them and they stay in the list.

What "printed" means

A form leaves Not yet printed once it has been printed from this page. Each print is recorded with the template it used, so LAST PRINTED shows the most recent time. Printing a form again (choose All to find it) simply updates that time. Printing does not change the form or anything in your books.

Forms you print or save from the form itself (for example Print Invoice or Save PDF on an invoice) are not recorded here, so they still show as Not yet printed. Print them from this page, or choose All, if you want the list to reflect them.

Permissions

You see a kind of form here only if your role lets you view that kind of document: invoices and sales receipts need access to invoices, credit memos to credit memos, estimates to estimates, sales orders to sales orders, and purchase orders to purchase orders. See Roles and permissions explained.

Messages you may see

"No invoices in these dates."No forms of that kind are dated in the range.
"Those forms could not be found."The ticked forms were deleted or changed since the list loaded. Change a filter to reload the list.
A message naming the printer, such as "printer is not installed on this computer any more" or "printer did not accept the document"The printer was removed or refused the job. Choose another printer, or check the printer itself.

Tips

  • Tick Print Later on invoices you save during the day, then use Ticked Print Later here to print exactly those.
  • Use Save as PDF to send a batch to your accountant or to keep an archive copy of a month's invoices.
  • To change what the printed form looks like (logo, columns, fonts), edit the template in Templates; the next batch uses the change.

Common problems

A form I just saved is not in the list. Check the date range (it covers the last 30 days when the page opens) and the kind of form: a sale paid in full on its date is listed under Sales Receipts, not Invoices.

The forms printed but are still listed as not printed. This happens when you printed through the PDF viewer and answered No, keep them. Print again, or choose All to see them with the rest.

The printer I want is not in the list. SeroBooks lists the printers Windows has installed. Add the printer to Windows first; see Printer Setup.
