Create Statements

Send customers a statement of account — every transaction for a period (balance forward) or only what is unpaid (open item) — with the balance aged, by PDF, Excel or email, one customer or all at once.

A statement is what you send a customer to get their account paid: what they owed at the start of the period, what happened during it, what they owe now, and — the part that collects money — how old the debt is. SeroBooks makes two kinds:

  • Balance forward (All activity): every invoice, payment and credit in the period, with the balance after each, starting from the balance brought forward. Suits a regular account customer.
  • Open item (Unpaid only): only the invoices still unpaid, each with what was paid and what is still owing. Suits a trade customer, because "pay invoice 4471" is easier to act on than a single balance.

Opening Create Statements

Customers ▸ Create Statements, or Home ▸ Statements. The page is titled Statements — Tap a customer to read their statement, then any line to open the document behind it.

The list of customers owing

With nobody owing: Nobody owes anything — nothing to chase. The list can be exported.

Emailing statements in a batch

  1. Tick the customers, or tick none to send to everyone who owes.
  2. Click Email all (or Email (n)).
  3. Confirm Email EVERY customer who owes — (n) statement(s)? (or Email (n) statement(s)?). Each customer receives their own statement for (dates). Customers with no email address on file are skipped and reported back — they are not silently dropped.
  4. Click Send. SeroBooks confirms Statements sent.

Sending statements needs the Send right on Statements.

One customer's statement

Click Statement (or double-click the customer). The statement page shows the customer, the period, and:

Above the lines: Balance owing and the ageing — Not yet due, 1–30 days, 31–60 days, 61–90 days and Over 90 days. Click any line to open the invoice or credit memo behind it.

If the ageing does not add up to the closing balance, a red banner says so, with the difference: Do not send this statement until it does. Check the customer's ledger for the cause, or contact support.

Statement from a customer's ledger

A customer's ledger has its own Statement button: choose Transactions for a period or Open invoices, the dates, and PDF, Excel or Email…. See A customer's ledger and balance. Customer Balances also offers a quick statement (PDF, email or WhatsApp summary) for each customer.

What the statement PDF shows

The printed statement carries your business details, Statement for the customer and their address, the period, the lines (balance forward: date, description, charge, credit and balance; open item: invoice, date, total, paid, due and days outstanding), and Balance due. Statement charges and finance charges appear as lines like any invoice. Payment references entered when payments were received show on the payment lines.

Tips

  • Run Assess Finance Charges before statements if you charge interest, so the charges appear on them.
  • Use Unpaid only for customers who pay invoice by invoice; it lists exactly what to pay.
  • Keep customer email addresses up to date on their forms; batch statements go to that address.
