A statement charge is an amount you add straight to a customer's account — a monthly service, a fee, a reimbursable cost — without printing an invoice. It appears on the customer's next statement, ages like an invoice and is paid like one. The screen shows the customer's Accounts Receivable register, with a line at the top to add the charge.

Opening it

Customers ▸ Enter Statement Charges, or Home ▸ Statement Charges. It opens over the Home Page; Esc takes you back to the Home Page. It needs permission for the Invoices list.

Step by step

  1. Choose the customer. Their Accounts Receivable register loads below, with their Balance.
  2. Under NEW CHARGE, fill in the fields.
  3. Click Record.

SeroBooks confirms Charge entered. and the charge appears in the register.

The new charge

Item (service or other charge)The service or other-charge item being charged. Inventory items cannot be used — sell stock on an invoice.
QtyThe quantity.
RateThe price per unit.
DescriptionWhat the charge is for; it shows on the statement.
Due dateWhen it is due.
AmountQty × Rate, shown as you type.

Messages: Choose the customer.; Choose the item charged.; Enter the quantity and rate. If the server refuses the charge, its reason is shown — for example that a statement charge takes a service or other-charge item.

The note under the form sums it up: No tax and no stock, as in QuickBooks: the charge appears on the next statement and is paid like an invoice.

The Accounts Receivable register

ACCOUNTS RECEIVABLE REGISTER lists everything on the customer's account:

Without a customer chosen it says Choose a customer to see their register.

What it posts

A statement charge is stored as a sale with one line and posts like one: debit Accounts Receivable, credit Sales revenue (or the item's income account). No sales tax is charged and no stock moves. It is included in the customer's balance, statements, aging reports and Receive Payments like any invoice.
