A sales receipt records a sale the customer pays for in full at the time: cash over the counter, a cheque handed over on delivery, a card payment. There are no terms and no due date, and nothing is left on Accounts Receivable. Use Create Invoices instead when the customer will pay later.

Opening it

Customers ▸ Enter Sales Receipts, or Home ▸ Sales Receipts. It opens over the Home Page; Esc takes you back to the Home Page. It needs permission for the Invoices list.

Step by step

  1. Choose the Customer:Job, or leave it empty for a cash sale to no one in particular (it is recorded against your walk-in customer).
  2. Check the Date and Location.
  3. Add the items with their quantities; the rate and tax fill in.
  4. Under PAYMENT, choose how the customer paid and, for a cheque, type the Cheque No. (or a Reference / Authorization).
  5. Choose Deposit To, if shown.
  6. Optionally type a Customer Message and Memo.
  7. Click Save & Close, or Save & New to enter another.

SeroBooks confirms Sales receipt (number) saved, with Open / print to open it.

The form

Items gridITEM (Add an item — name, SKU or barcode…), QTY, U/M, RATE, TAX, AMOUNT. Right-click a line for Insert Line (Ctrl+Ins) and Delete Line (Ctrl+Del).
PAYMENTThe payment method: your payment methods for money received (cash, cheque, debit, credit, e-Transfer and any others you use).
Cheque No. / Reference / AuthorizationThe cheque number, or the approval code or reference for other methods. Stored on the payment.
Deposit ToThe bank or cash account the money goes into. When your company sends received money to Undeposited Funds, the form shows Deposit To: Undeposited Funds (your preference) instead, and the money waits for Make Deposits.
Customer MessagePrinted on the receipt.
MemoInternal, not printed.
TotalsSubtotal, Tax and Total at the bottom.

The buttons

ButtonWhat it does
Save & CloseSaves the sales receipt.
Save & NewSaves it and clears the form for the next one.
MemorizeKeeps it in the Memorized Transaction List to enter again (for example a regular cash customer). Add at least one item before memorizing.
ClearEmpties the form.

Messages when saving: Add at least one item to the sales receipt.; Every line needs a quantity.; The sales receipt has to be more than zero. If the server's total differs from the form's, SeroBooks shows CHECK THIS SALE — open the receipt and check it.

A sales receipt posts as a paid sale:

The receivable and the payment cancel, so nothing is left owing: the net effect is money in the Deposit To account (or Undeposited Funds), income and tax payable. Stock leaves at the chosen location and tax follows the customer's address.

Common problems
