Customer Balances is the list of everyone who owes you money, with how much and how late. The total receivable is split into age buckets by each invoice's due date — its credit terms applied to the invoice date — so you can see at a glance what is current and what is overdue. From each customer you can receive a payment or produce a statement.
The same screen opens from Customers ▸ Receive Payments, because receiving a payment starts from the customer who owes it.
Opening it
- Customers ▸ Customer Balances (under Transactions)
- Customers ▸ Receive Payments
Ctrl+B opens the Money to Collect by Due Date report, the report form of the same question.
The summary
The heading (Receivables) shows how many customers have a balance, and Refresh reloads it. Below it:
- TOTAL RECEIVABLE — everything customers owe.
- A bar for each age bucket — Current, 1–30, 31–60, 61–90 and Over 90 days past due — with its amount and share of the total.
Notices you may see:
| Notice | Meaning |
|---|---|
| Account balance differs from the open invoices for: … | For the customers named, their account balance and their open invoices differ — because of unapplied credit memos or a brought-forward balance. Statements, credit checks and payment runs use the account figure. Open the customer's ledger to see the difference. |
| More open invoices than this screen loads. The totals below are a FLOOR, not what is owed… | You have more open invoices than the screen reads at once. Use the A/R Aging reports for the whole figure. |
The list
| Column | What it shows |
|---|---|
| Customer | The customer, with the date of their oldest open invoice (oldest Mar 4). |
| Open Inv | How many invoices they have open. |
| Balance | What they owe in total. |
| Current | Not yet due. |
| 1–30, 31–60, 61–90, 90+ | Amounts that many days past due. |
| (actions) | Statement and Receive. |
The footer reads Aged by DUE date (credit terms applied) · live from server and Enter or double-click a customer to receive payment. With nobody owing, the list says Nothing outstanding — every invoice is paid. The list can be sorted, filtered, emailed and exported like any list.
Walk-in (anonymous) sales are never shown here: nobody can be chased for them.
Receive
Receive (or double-clicking the customer, or Enter) opens Receive · (customer) to record their payment against their invoices. See Receive Payments. The list re-ages when you come back.
RECEIVED FROM, beside Refresh, receives from a customer who is not in the list: type their name and pick them, and the same payment opens. With nothing open, the money is left as their credit.
Statement
Statement opens Statement of Account for the customer:
| Choice | What it does |
|---|---|
| Open PDF — print or save | The statement opens in your PDF viewer (Ctrl+P to print). |
| Email summary | Drafts the statement text in your mail program, addressed to the customer. |
| WhatsApp summary | Opens WhatsApp with the statement text. No mobile number on file for (customer). if none. |
Close closes it. For statements with a period, or for many customers at once, use Create Statements.

Receiving needs the Record right on Receive Payments; statements need the Statement right on Customer Balances.
