An item's history and drill-down

The item window (Product 360) with price, stock by location, last purchase, price levels and recent sales, and the Sales history, Purchase history, stock card and item ledger it opens.

Every item has its own window, called Product 360, that answers the questions people ask about an item: what it sells for, how many you have and where, what you last paid and to whom, what each price level pays, how fast it is selling, and how many days the stock will last. From the window you can open the item's full Sales history, Purchase history and Item ledger (every movement in and out), edit it, set its accounts or delete it.

Opening an item's window

  • On the Item List, double-click an item, or highlight it and press Enter.
  • From anywhere, press Ctrl+Shift+I (Item lookup), search for the item and pick it. The window opens over whatever you were doing, so an invoice you are writing stays exactly as it was.
  • Click an item on a line of an invoice, bill, receipt of goods, transfer or adjustment, or on the Inventory Health snapshot. Wherever an item is shown, it opens this window.

The window can be moved and resized, and several can be open at once, so you can compare items side by side. You can select and copy any text in it, such as the SKU.

What the window shows

The title is the item's name (with its variation, for example "T-Shirt — Large"), with its SKU and a tag for its category underneath.

Price and stock

Movement and money

CostWhat one unit costs: the price on the last bill, or the item's cost when there is no bill. Shown only if your role has View Cost & Margin.
Margin(Price − Cost) ÷ Price. Shown only with View Cost & Margin.
Sold 30d revenueShown instead of Cost and Margin when your role cannot see costs: the value of the last 30 days' sales.

Stock by location

One row per location with its quantity; your own location is highlighted. The heading shows live · as of the time of the last refresh, or stale — retrying if the refresh is failing. Click a location to open its stock card.

Amazon FBA

Shown only when you sell the item through Amazon's fulfilment centres. It gives the units Amazon reports as Fulfillable, Inbound, Reserved and Unfulfillable, with the date of the snapshot. When more than one Amazon marketplace reports, each is listed, and the figures at the top are the largest single report rather than the sum, because the marketplaces share one pool of stock. Amazon units are never added into All locations. See Products.

LAST PURCHASE

The price you paid on the most recent bill for the item (tax-inclusive where known), × the quantity bought, the date and bill reference, and the vendor. Without View Cost & Margin the price shows as dots. No purchase on record. means the item has never been bought on a bill.

PRICE LEVELS

Each price level that sets its own price for this item, with that price including tax. No group prices — everyone pays list. means no price level changes this item's price.

BATCHES & EXPIRY

Shown only when your company tracks lot or batch numbers. Each batch still holding stock is listed as Batch number · *location*, with its expiry date (amber when close, red and marked expired when past) and its quantity. Click a batch to trace where it came from and where it went. See Lot numbers and expiry.

SALES — LAST 30 DAYS

A bar for each of the last 30 days, the height showing that day's sales value; hover over a bar to see the date and amount. The heading gives the 30-day total and the number of invoices. No sales in the last 30 days. means none.

The line at the bottom left says where the figures came from: Product 360 · live from server, or Product 360 unavailable (…) — showing live stock only. when the server could not answer; the price and stock boxes still work.

The buttons

Sales historyEvery sale of the item, line by line.
Purchase historyEvery purchase of the item, line by line.
Item ledgerEvery movement of the item at every location, with a running balance.
CloseCloses the window.

Sales history, Purchase history, Item ledger and a location's stock card open as pages in the main window, and the item window steps aside. When you press Esc or Back on the page, the item window comes back, so you can ask the next question about the same item. See Escape, Back and closing forms.

Sales history and Purchase history

These pages list every invoice (or every bill) line for the item.

Unit priceThe price per unit including tax.
TotalThe line total.

Double-click a row, or highlight it and press Enter, to open the invoice or bill behind it.

Set cost price

Set cost price opens Cost price. Type What one unit costs you, excluding tax, as you pay your vendor, and click Save. It updates the item's Cost. Use it when an item has no cost yet and its margins read as if it cost nothing. It does not change any bill already entered, or the cost of units already received on bills.

If you type something that is not a number, SeroBooks says That is not a cost. Enter a number, or 0.

The stock card and item ledger

The stock card lists every movement of the item at one location; the Item ledger lists them at every location, with a Location column. Both read oldest first, with a running balance, the way the stock actually moved.

When UNEXPLAINED is not zero, a note explains that the shelf holds more (or less) than the documents account for, because stock arrived without a transaction, for example through an import. Recording a stock count with Adjust Quantity/Value on Hand puts it right.

ColumnWhat it shows
DateThe date of the movement.
MovementPurchase, Opening stock, Transfer in, Transfer out, Returned to supplier, Sale, Customer return, Inventory adjustment, Assembly built or Used in assembly. A transfer is listed once it has been received.
DocumentThe document's number.
LocationItem ledger only: where it happened.
PartyThe customer or vendor.
In / OutThe quantity, green for in and red for out.
BalanceThe running quantity after the movement.

Double-click a row or press Enter to open the document: bills and transfers in open in the bill view, and invoices and customer returns open the invoice. Movements with no document view of their own say so. The list can be emailed or exported to CSV, Excel or PDF from its toolbar.

Tips

  • Before you promise stock to a customer, check Stock by location rather than the total: stock at another location has to be transferred first. See Transfer Inventory between locations.
  • A falling Days of cover is the earliest sign you need to reorder. See Reorder Levels.
  • For the same information across all items at once, use the inventory reports. See Inventory reports.

Common problems

Cost and Margin are missing. Your role does not have View Cost & Margin. The window shows Sold 30d revenue instead.

"Product 360 unavailable". The server could not supply the history. The price and stock boxes still work; close the window and open it again in a moment.

The window has no Edit Item or Sales history buttons. When an item is opened from some screens only part of the window is available. Open the item from the Item List, Stock Levels or with Ctrl+Shift+I for every button.

The stock card shows an unexplained quantity. Stock reached the location without a document. Count it and record the difference with Adjust Quantity/Value on Hand.
