Custom Fields

Define up to ten fields of your own for customers and vendors and four for items, fill them in on each record, and print them on forms.

Custom Fields let you keep information SeroBooks has no box for: a customer's contract number, a vendor's account manager, an item's country of origin. You define the fields once here, fill them in on each customer, vendor or item, and they can print on your forms.

Opening it

Lists ▸ Custom Fields. It opens over the Home Page; Esc takes you back to the Home Page. It needs permission for the Customer Centre.

Define your fields, step by step

  1. Under NAME FIELDS, type a label in any of the ten rows (for example "Contract No."). A row with no label (Not used) is not used.
  2. For each name field, tick CUSTOMERS, VENDORS or both, to say which records ask for it.
  3. Under ITEM FIELDS, type labels in any of the four rows.
  4. Choose Save. SeroBooks confirms Custom fields saved.

Labels can be up to 60 characters. The note at the top reminds you: a field with a label is asked for on the names or items it is used for, and prints on a form when the form's template ticks Custom Fields.

Only an administrator can define custom fields: Only an administrator can define custom fields.

Fill in the values

A customer or vendorOpen their ledger (from the Customer Centre or Vendor Centre) and choose Custom Fields. The dialog, headed with their name, shows the fields defined for customers or for vendors. Type the values and choose Save.
An itemOpen the item's details from the Item List and choose Custom Fields.

If no fields are defined for that kind of record yet, SeroBooks says No custom fields are defined for these yet — define them in Lists › Custom Fields. Changing values needs the right to edit that kind of record.

Printing custom fields

In Templates, tick Custom fields (Lists › Custom Fields) under Header on the template. Forms printed with it from Print Forms and Send Forms show the customer's values.

Tips

  • Plan the fields before you use them: renaming a field's label later keeps the values already typed under it, which may no longer match the new name.
  • Untick CUSTOMERS on a field only meant for vendors, so customers are never asked for it.
