Change Item Prices updates the selling prices of many items in one go. You list the items of one kind, mark the ones to change, and either let SeroBooks work out the new prices (for example 5% higher than the current price, or 40% higher than unit cost, rounded up to .99) or type new prices yourself. Nothing changes until you click Save. Only the selling price changes; the cost stays as it is.

Use it for an annual price increase, a supplier's price rise you want to pass on, or to reprice a whole category from cost.

Opening Change Item Prices

Choose Customers ▸ Change Item Prices. It opens over the Home Page; Esc takes you back to the Home Page. It needs permission for the Item List.

Step by step

  1. Choose the Item type to list: All items, Inventory Part, Service / Non-inventory or Group.
  2. To narrow further, type part of a name or SKU in Find item or SKU and press Enter.
  3. Tick the items to change in the left-hand column. Tick the box in the heading row to mark every item listed, or clear it to unmark them all.
  4. In the adjustment bar, set Adjust price of marked items to be [amount] % / amount higher / lower than Current Price / Unit Cost, and choose Round up to nearest if you want rounding.
  5. Click Adjust. The NEW PRICE column fills in for every marked item. New prices that differ from the current price show in bold.
  6. Check the new prices. Type over any that you want different, or type a price for an unmarked item.
  7. Click Save. SeroBooks confirms, for example 12 prices changed., and reloads the list with the new prices in CURRENT PRICE.

The list

SKUThe item's code.
TYPEInventory (a stocked item), Service (a service or non-inventory item) or Group.
COSTThe item's unit cost. Read-only here.
CURRENT PRICEToday's selling price, before tax.
NEW PRICEThe price that will be saved. Filled in by Adjust, or typed. Empty means no change.

The list shows up to 5,000 items. With more, the note Showing the first 5,000 items — narrow by type or search. appears under it; choose a type or search to reach the rest.

The adjustment bar

ControlWhat it does
Adjust price of marked items to be [box]The figure to adjust by. Starts at 5.
% / amountWhether the figure is a percentage or an amount of money.
higher / lowerWhether to raise or lower the price.
than Current Price / Unit CostWhat the new price is worked out from: today's selling price, or the item's cost. Use Unit Cost for cost-plus pricing.
Round up to nearestNo rounding (to the cent), 0.05, 0.10, 0.25, 0.50, 1.00, or x.99 (price points).
AdjustWorks out the new prices for the marked items.

How the rounding works:

  • 0.05 to 1.00 round up to the next multiple of that step. With 0.25, 10.12 becomes 10.25 and 10.25 stays 10.25.
  • x.99 (price points) rounds up to the next whole amount, less one cent: 4.20 becomes 4.99, and 5.00 becomes 4.99.
  • A price never goes below zero; a lowering that would take it negative gives 0.00.

What changes when you save

  • Each changed item's selling price (before tax) is updated, and its tax-inclusive price is recalculated from the item's own tax rate.
  • The cost is never changed here.
  • Every computer that uses your company picks up the new prices on its next catalogue refresh.
  • Invoices, estimates, sales orders and sales receipts already saved keep the prices they were written with. New documents use the new prices.
  • Price levels that give some customers a different price are separate; see Price Levels.

Nothing posts to the books. A price is a setting on the item, not a transaction.

Unsaved changes

If you have new prices that are not saved and you try to leave the page, SeroBooks asks You have changed the transaction. Choose Keep editing to go back and click Save, or Discard changes to leave without saving.

Changing Item type, or pressing Enter in Find item or SKU, reloads the list and clears the marks and any new prices that were not saved. Save first.

Permissions

  • Opening the page needs access to the Products or Services screens.
  • Saving needs the Edit Product right (Inventory ▸ Products). See Roles and permissions explained.

Common problems

"Mark the items to adjust first." You clicked Adjust with nothing ticked. Tick the items, then click Adjust.

"No new prices to save." / Save is greyed out. No new price differs from the current price. Click Adjust, or type a new price.

"A new price cannot be below zero." A typed price is negative. Correct it.

"Some of those items are not in this company." An item was deleted or merged since you opened the page. Change the Item type to reload the list, and make the change again.

"No items of this type." Nothing matches the type and search. Choose All items or clear the search box and press Enter.

The price on an old invoice did not change. That is expected: saved documents keep their prices.
