What each person may see and do in SeroBooks is set by their role. Roles are managed under Company ▸ Set Up Users and Roles by the company's administrator. What the company as a whole can use is set by its plan. This article explains the messages you meet when either one says no.
A menu item or screen is missing
The menus show only what you can use. An item is left out when:
- your role has View switched off for that screen. It is not shown anywhere: not in the menus, the Home Page's panels, Ctrl+K or Favorites;
- your company's plan does not include it;
- it does not apply to your business (the Amazon menu appears only for businesses that sell on Amazon; the Employees menu only where payroll is included).
What to do: ask your administrator whether your role should have it. They can switch it on for the role under Company ▸ Set Up Users and Roles. See Roles and permissions explained.
A screen says "Your role does not have access to this screen."
You reached a screen your role may not see, usually through a link from another screen. The message continues: "An administrator can grant it under Admin › Roles." Nothing is wrong with SeroBooks; the role needs changing.
An "Approval Required" window opens
Your role can see this screen but not do this action (for example, delete a bill, edit a saved invoice, or reconcile). Rather than refusing, SeroBooks lets someone who holds that permission approve it for you on the spot.
The window names the action being approved and says: "This is locked for your role. Anyone who has access to it can approve this one action."
- Ask a colleague who holds the permission (not necessarily an administrator: an accountant or supervisor with that right will do).
- They type their Login ID and Password.
- They click Approve. The action goes ahead, once.
Or click Cancel to leave it.

The approval is for that one action only. It is not remembered, so the next time the window asks again. If you need to do it regularly, ask for your role to be changed instead.
A "Manager Approval" window opens
Some settings on this computer (printers, app settings, the daily sales report, syncing) use an older check. The window says "'item' is locked for your role. An Admin or Manager can approve this action." Someone with an Admin or Manager role types their login and password to allow it once. In the left navigation panel these items show a small padlock.
An "Admin Access" window opens when I click Admin
The Admin screen opens directly for people whose role grants any Admin item. Anyone else is asked for an Admin or Manager login ("Manage products, categories, staff and settings").
A feature says it is part of another plan
Some features belong to a higher SeroBooks plan. Opening one shows its name and a message such as "Feature is part of SeroBooks plan. Your plan is your plan — upgrading opens it immediately, and nothing already in your books changes." with the note "Nothing you have entered is affected either way."

Maya says my role cannot see the books
Maya sees only what your role may see. If your role cannot see the figures you asked about, Maya says so rather than answering. See Ask Maya.
A save is refused because of the closing date
That is not a permission. A date on or before the company's closing date is refused for everybody, unless the closing date password is typed. See Set Closing Date and Year-End.
My administrator changed my role, but nothing changed
SeroBooks reads your role's permissions when you sign in. Choose File ▸ Sign Out and sign in again.
For administrators
- Give each person a role that matches their job, rather than making everyone an Admin to avoid approval windows.
- Remember that View hides a screen entirely, while withholding an action leaves the screen visible and asks for approval.
