List reports

Printable lists of your customers, vendors, items, prices and staff: contact lists, phone lists, the item price list, the item listing and the employee contact list.

The List reports turn your lists into something you can print, export or hand out: a price list for a customer, a phone list for the office, a contact list for your accountant, or the full item listing with costs, prices and margins. They have no dates, because a phone number or a price is simply what it is today.

Where to find them

  • Reports ▸ List: Account Listing, Item Listing, Item Price List, Customer Contact List, Customer Phone List, Vendor Contact List, Vendor Phone List and Employee Contact List.
  • Reports ▸ Report Centre, category Lists.

Account Listing, the first item on the menu, is filed with the accountant's reports in the Report Centre and is explained in Accountant & Taxes reports.

These reports have no filters: each lists everything of its kind. To narrow one down, use the search box, Filter or column sorting in the report toolbar, then print or export what is shown. See Running a report and Print, export and email a report.


Customer

Customer Contact List

What it answers: every customer, with how to reach them, their terms and their balance.

Date: none.

Columns:

CustomerThe customer's business name, or their name when there is no business name.
RefThe customer's reference number.
ContactThe person's name, when the customer is a business.
PhoneMobile, or landline when there is no mobile.
EmailEmail address.
AddressStreet, city, province and postal code.
TermsPayment terms, for example 30 days, or On receipt.
BalanceThe balance held on the customer's record.

Rows: every customer (including contacts set up as both customer and vendor), alphabetically, then a TOTAL of the balances.

Customer Phone List

What it answers: just the numbers.

Date: none.

Columns: Customer, Mobile, Landline and Alternate.

Rows: every customer, alphabetically. The subtitle counts them.

Vendor

Vendor Contact List

What it answers: every vendor, with how to reach them, their terms and their balance.

Date: none.

Columns: the same as the Customer Contact List, with Vendor in place of Customer.

Rows: every vendor (including contacts set up as both customer and vendor), alphabetically, then a TOTAL of the balances.

Drill down: click a vendor to open their ledger.

Vendor Phone List

Columns: Vendor, Mobile, Landline and Alternate.

Rows: every vendor, alphabetically.

Drill down: click a vendor to open their ledger.

Item

Item Price List

What it answers: your selling prices, ready to hand to a customer.

Date: none.

Columns: Item, Code, Unit, Price (before tax) and Price inc. tax.

Rows: grouped by category (items with none are under Uncategorised). Inactive items and items marked as not for selling are left out, so the list is safe to share.

Drill down: click an item to open it.

Item Listing

What it answers: every item, with its cost, price, margin and stock: the catalogue as an accountant reviews it.

Date: none.

Columns:

PriceIts selling price.
Margin %(Price less cost) as a share of the price, the way retail quotes margin. It is not a markup on cost.
On handQuantity across every location; blank for items that do not track stock.
StatusActive or Inactive.

Rows: every item, active and inactive, alphabetically. The subtitle counts them.

Drill down: click an item to open it. Click its On hand figure to open Inventory Valuation Detail for that item: every movement in and out, which explains how the quantity came to be.

Employee

Employee Contact List

What it answers: everyone with a user account in your company, and how to reach them.

Date: none.

Columns: Employee, Username, Email, Phone, Location, Commission % (for staff set up as sales reps) and Status.

Personal identifiers such as Social Insurance Numbers are deliberately not shown, because contact lists get printed and left on desks.

Drill down: click a person to open Sales by Rep Detail for them. Someone with no sales opens an empty report.

Common problems

A customer or vendor is missing. Deleted contacts are not listed. Check the Customer Centre or Vendor Centre.

An item is missing from the Item Price List. It is inactive or marked as not for selling. It is still on the Item Listing.

The balance on a contact list differs from the aging report. The contact list shows the figure held on the contact's record; the aging reports add up the open invoices or bills. Trust the aging report for what is owed.
