If you keep the books for more than one business, SeroBooks keeps a list of every company you use and lets you move between them with File ▸ Open Company. Each company has its own sign-in and its own books. Only one company is open in SeroBooks at a time, so you always know whose books you are working in.
Opening the list
- Choose File ▸ Open Company…, or
- open the left navigation panel (the ☰ button at the left of the dark bar) and click Switch Company. This entry appears once you have more than one company.
The Open Company window
The window explains: "Each company opens with its own sign-in and keeps its own books on this computer." Below that is one card for each company, the most recently opened first.
| On each card | Meaning |
|---|---|
| Company name | The company's name, as it is on its own records. |
| Username | The login you used for that company, when SeroBooks knows it. |
| Last opened *date and time* | You have worked in this company on this computer; this is when you last opened it. |
| On this computer | The company's books are on this computer, but SeroBooks does not know when you last opened it. |
| Not opened on this computer yet | A company registered to you on the SeroBooks server that you have not opened on this computer. Opening it signs in and downloads its lists for the first time. |
| Open now | The company you are in. It is highlighted and cannot be chosen. |
The buttons at the bottom:
- Sign in to another company… — opens a blank sign-in screen, for a company that is not on the list (for example, one where someone else has made you a user).
- Cancel — closes the window and leaves you where you were.
Switch to another company
- Choose File ▸ Open Company….
- Click the company you want.
- If a window has changes you have not saved, SeroBooks asks first: You have changed the transaction. "Opening another company closes this one. Save what you are working on first, or discard it and switch now." Click Keep editing to go back, or Discard changes to switch.
- SeroBooks signs you out of the company you were in and opens the sign-in screen with the chosen company's username already filled in.
- If you ticked Remember me when you last signed in to that company, SeroBooks signs in by itself.
- Otherwise, type the password and click LOG IN.
- SeroBooks brings that company's lists up to date and opens on its Home Page.
The company you left is not changed in any way. Its books stay on the server, and its lists stay on this computer ready for next time.
Add a company to the list
A company joins the list the first time you sign in to it on this computer. To add one:
- Choose File ▸ Open Company… and click Sign in to another company….
- Sign in with that company's email or username and password.
Companies registered to your own email address on the SeroBooks server appear on the list even before you have opened them here, marked Not opened on this computer yet.
What SeroBooks remembers, and where
- The list of companies is kept in Windows' secure storage for your Windows user, so signing out does not lose it.
- Passwords are kept only for companies where you ticked Remember me, one per company, in the same secure storage. Untick Remember me at your next sign-in to that company to forget its password.
- Each company's lists (customers, vendors, items and so on) are kept in a separate file on this computer, so one company's customers can never appear in another company's invoices.
Working for clients as an accountant
An accountant or bookkeeper who has been given access to a client's books through My Accountant works in them from their own login, without switching company this way. While they do, a banner across the top of the screen reads "You are working in client's books. Everything you save belongs to them." with a Leave button. See My Accountant.
Common problems
The company I want is not on the list. You have not signed in to it on this computer, and it is not registered to your email address. Click Sign in to another company… and sign in with the login the company gave you.
SeroBooks asked for the password even though I ticked Remember me. Remember me is kept per company and per computer. It is saved again each time you sign in to that company with the box ticked.
"A card payment is still being recorded". A card payment taken a moment ago has not finished saving. Wait a minute for it to finish, then open the other company.
