Is AI safe for bookkeeping? The honest answer
Safe for suggestions, dangerous for unsupervised writes. The dividing line is not the model — it is the controls around it.
Where AI genuinely helps
Answering questions across your own data, spotting anomalies, forecasting demand, drafting repetitive documents, explaining variances. These compress hours into minutes and are read-only by nature.
Where it must not act alone
Posting to the ledger, paying anyone, changing prices, filing anything. Books are evidence; an unsupervised writer of evidence is a liability regardless of accuracy.
The safeguards that matter
Approval gates on every action, append-only audit of proposals and approvals, value caps, role-aware disclosure (the AI must respect who may see margins), refusal to fabricate when data is missing, and a kill switch. Maya was built to this list; hold every tool to it, ours included.
Bookkeeping is an unusually bad place for confident guesses
A model that is right ninety-five percent of the time is impressive in most contexts and unacceptable in a ledger, because the five percent compounds silently and surfaces at year end. Accounting errors do not announce themselves.
This is why the safe design is proposal-and-approval rather than autonomy, and why the audit trail matters more than the model.
Questions worth asking any vendor
Can it act without a human, and if so on what? Is every action logged with what it changed? Can an action be reversed, and is there a kill switch? What happens to your data — is it used for training, where is it stored, who can read it?
Vague answers to any of those are the answer.
Where Maya sits
Maya proposes work as approval cards, records what she did, and can be undone and stopped. She reads the same books your accountant will close, which means her answers are grounded in posted documents rather than in a summary of them.
She is in early access; the honest framing is a preview with governance, not a finished autonomous bookkeeper.
