Use Register

See one account's transactions in date order with the balance after each one, open the document behind any line, and reclassify entries in bulk.

Use Register shows a single account the way a chequebook register does: every transaction on it in date order, with the balance after each one. Use it to check a bank account against a statement, to see what made a balance what it is, or to find a transaction you remember only roughly. From any line you can open the document behind it, and you can tick several lines and move them to another account, class or job in one go.

Every account in the Chart of Accounts has a register, not only bank accounts.

Opening a register

The register opens on your first bank account. Nothing pops up asking which account: you choose it in the search box in the header.

Reading a register, step by step

  1. Click the account box in the header (it shows the account you are looking at). The whole Chart of Accounts drops down under it, that account first. Type part of an account's name, number or type to narrow the list, and pick the account with the mouse, or with ↑/↓ and Enter.
  2. Choose the date button beside it (it shows the period, for example 1 Jan 2026 – 25 Sep 2026) to change the period. The register opens on the start of the current year to today.
  3. Read down the list. The heading shows Opened (the balance at the start of the period) and closed (the balance at the end).
  4. Double-click a line, or select it and press Enter, to open the invoice, bill, cheque or other document it came from.

The columns

You can sort, search and export the list as with any list in SeroBooks. The register remembers your sorting and search while you go into a document and come back.

Changing an entry

A line that came from a document (an invoice, bill, cheque, deposit, payment) is changed by opening the document and editing it there. The document is what counts: its ledger lines are rewritten every time it is saved.

A line from a manual general journal entry has no document to open. Double-clicking it says That is a manual journal entry — tick it and use Reclassify.

Reclassify entries

Reclassify moves several entries at once to another account, class or job, for example when a month of fuel purchases was coded to the wrong expense account.

  1. Tick the lines to change. The Reclassify button shows how many are ticked.
  2. Choose Reclassify.
  3. In the Reclassify … entries window:
    • Move to account (optional) — the account to move them to, or Leave the account alone.
    • Change the class — tick it, then pick the class, or leave it empty to take the class off. Shown only if your company uses classes.
    • Change the job — tick it, then pick the job, or leave it empty to take the job off. Shown only if you have jobs.
  4. Choose Reclassify.

If any of the ticked lines came from invoices or bills, the window explains that their account cannot be changed here — the document decides it — and offers only class and job, which are applied to the document itself. To change the account on those, edit the documents.

When it finishes, SeroBooks says how many entries were changed and, if some were left alone, why (up to three reasons are shown).

Permissions

Reclassifying needs Reclassify Entries. Opening the register needs access to the Register screen.

Tips

  • To check a bank account against a statement, set the period to the statement's dates and compare the closed balance with the statement's closing balance, then reconcile.
  • The General Ledger shows every account at once; the register is for reading one account down the page. See General Ledger.

Common problems

The register is empty. Nothing was posted to the account in the period. Widen the period.

Reclassify says some entries were left alone. The message gives the reason for each. The usual ones: that period is closed (the entry is dated on or before the closing date); this row comes from a document (change the document instead); or the new account is a different kind from the old one — for example moving an income entry to an expense account — which is not a reclassification and has to be corrected with a journal entry.
