Collecting without burning the relationship

The goal of collections is not winning — it is getting paid while keeping the customer worth keeping. Paper does most of the work if you let it.

Terms set at the start

Net terms belong on the first invoice, not the first argument. Credit limits in the customer record make the policy self-enforcing at sale time.

Let the statement be the nag

A monthly statement is expected and impersonal — it pressures the account, not the relationship. Save your voice for the accounts that ignore paper.

Escalate positions, not emotions

Nudge → statement → call → credit hold. Each step is a policy, so nobody is being singled out and nobody takes it personally — including you.

Chase the relationship, not just the invoice

Collections work best when the customer can see what you see. A statement showing the whole position — invoices, credits, payments, what remains — settles most disputes before they start, because both sides are reading the same document.

Sending an invoice copy instead answers a narrower question and usually produces another email.

Rhythm beats effort

A monthly statement run plus a weekly look at the oldest bucket collects more than an intensive quarterly push, because it catches problems while they are small and while the customer still remembers the order. It also normalizes the conversation — nobody feels singled out by a routine.

Log what you sent and when; 'we never received a statement' should have an answer with a date on it.
