The month-end checklist
A month you close is a month you understand. This checklist takes about an hour once it is routine.
1. Reconcile every bank and card account
Bank first, always. Until the cash is proven, every other number is provisional.
2. Review receivables aging
Anything sliding past 60 days gets a statement today and a phone call this week. Collections is a habit, not an event.
3. Review payables
Know what is due before it is overdue. Batch what you can into a payment run.
4. Check the recurring entries posted
Rent, insurance, subscriptions — confirm the month's standing entries landed.
5. Skim the exceptions
Held sales that never resumed, adjustments with odd reasons, negative stock. Five minutes here catches what audits find later.
6. Read the P&L against last month and budget
Not to admire it — to find the two numbers that moved and learn why.
7. Lock the period
When you believe the month, lock it. A closed month cannot drift under you.
Why month-end is usually painful
The month-end that hurts is the one that is really a month of data entry compressed into two days. Invoices typed from a pile, purchases entered from memory, a POS export reconciled against a bank statement that never quite agrees. The checklist is not the problem — the backlog is.
A month-end done against books that posted themselves as the month happened is a review, not a reconstruction, and it takes an afternoon.
The order that saves time
Work outside in: bank first, because it anchors reality; then receivables and payables, because they explain what the bank has not yet seen; then stock, because it explains cost of goods; then the statements, which will now agree. Doing statements first means reading numbers you are about to change.
Anything unexplained gets written down rather than adjusted away, and carried into next month deliberately.
