Cash and cheques taken at the counter do not teleport to the bank — they sit in the drawer, then go as one deposit. The Deposits screen models that truth: settled payments wait in undeposited funds until you bank them as a batch, and the books then show one deposit line that matches the bank statement's one line, to the cent.

Without this discipline, reconciliation is archaeology: forty till payments against one statement line. With it, ticking is instant.

Built as a worklist

The screen lists every payment waiting — date, customer, invoice, method, amount — with checkboxes and a running total. Select what physically went in the bag, press Bank Selected, and the batch posts from undeposited funds to the bank account in one movement.

The screen audits itself

If the undeposited-funds ledger balance disagrees with the payments listed, the screen says so, in red, with the two numbers — something reached that account by a route the list does not know about, worth checking before banking. Most software would let you find that at year end; this screen makes it a today problem.

That habit of self-checking runs through the accounting suite: trial balance, balance sheet, cash flow and deposits each verify their own integrity out loud.

Frequently asked questions

Why not post payments straight to the bank?

Because then fourteen sales become fourteen bank entries the statement does not have, and reconciliation becomes archaeology. Deposits keep ledger and statement the same shape.
