The To Do List is a shared list of the things your company has to do: call a customer back, e-mail a vendor, meet the accountant, send a quote. Each to do has a type, a priority, a due date and, optionally, the customer it is about. When it is done you tick it off, and it moves from the active list to the done list.

The list belongs to the company, not to one person: everyone who signs in to the company and can open the To Do List sees the same entries.

Opening the To Do List

  • Company ▸ To Do List
  • On the Home Page, To Do List in the Company panel
  • From Reminders, click To Do Notes Due

From the menu or the Home Page it opens over the Home Page; Esc takes you back to the Home Page. Opened from Reminders (or the Calendar), it goes on top of that page, and Esc goes back to it.

The list

Columns

ColumnMeaning

PriorityA coloured pill: High, Medium or Low.
DueThe due date. Shown in bold red when the to do is still active and the date has passed.
To DoWhat is to be done.
WithThe customer it is about, if any.

Done to dos are shown faded. The list is ordered with active ones first, then by due date, then High before Medium before Low. Up to 1,000 are shown.

Double-click a row (or select it and press Enter) to edit it.

Add a to do

  1. Click New To Do. The Add To Do window opens.
  2. Fill in the fields:

PriorityHigh, Medium or Low. New to dos start as Medium.
Customer (Search customer…)Optional. Start typing a customer's name and choose from the matches that drop down under the field. Leave it empty for a to do that is not about anyone.
DueThe date it has to be done by. New to dos start with today.
To DoA short description of what is to be done — for example Call about invoice 1042. Required.
DetailsOptional notes: phone number, what was agreed last time, anything useful.
  1. Click OK to save, or Cancel to close without saving.

The new to do appears in the list straight away.

Edit a to do

  1. Double-click the to do. The Edit To Do window opens with its details.
  2. Change any field.
  3. Click OK.

Mark a to do done

Tick the box at the start of its row. It leaves the Active view and appears under Done (and All). To reopen it, choose Done or All, and untick it.

Delete a to do

Tick a to do off when it is finished; it then stays on the Done list as a record. Delete one only when it was entered by mistake or is not wanted at all:

  1. Double-click the to do. The Edit To Do window opens.
  2. Click Delete (bottom left, in red).
  3. SeroBooks asks Delete "…"? It is removed from the To Do List and the Calendar for everyone, and cannot be brought back. Click Delete to confirm, or Cancel to keep it.

A deleted to do cannot be restored.

Where to dos appear elsewhere

  • Reminders counts active to dos due today or earlier as To Do Notes Due. See Reminders.
  • The Calendar shows each active to do on its due date (the To Do filter chip).
  • The Lead Center lists and ticks off the to dos for each lead.

Messages you may see

Say what is to be done.The To Do field is empty. Open the to do again and describe the task.
The due date could not be read.Choose the date again with the date picker.
That To Do no longer exists.Someone else removed it. Refresh the list by switching between Active and All.
You do not have permission to view this. Ask an administrator to grant it under Users & Roles.See Permissions.

Permissions

The To Do List needs view access to either Dashboard ▸ Overview or the Customer Centre. Anyone who can open it can add, edit, tick off and delete to dos. See Roles and permissions explained.

Tips

  • Put the customer on every to do about money owed. The With column then tells you at a glance who to call.
  • Use High sparingly, so the high-priority to dos stand out.
  • When you finish a collection call, record the outcome in the Collections Center as well — its notes stay with the customer.
